Membership Terms & Conditions
Section 1 – Terms and Conditions of Membership.
All members must keep to the same terms and conditions, including adult and junior members who have linked
memberships and child members who have their application form signed on their behalf by an adult.
Section 2 – Rules and Regulations for using the facilities.
These terms and conditions apply to all of our members and their guests. They are necessary to make sure we
can offer an enjoyable and safe environment for you, your guests, and our other members to share during
every visit to our club.
Section 1
Parties
The Spa & Leisure club will be administered by Ardoe House Hotel & Spa or by another nominated person. The
membership agreement (in which are incorporated within these terms and conditions) is made between Ardoe
House Hotel & Spa in conjunction with the Leisure & Spa club and the individual applicants named overleaf.
Acceptance as a Member
We have absolute discretion over whether to enter into this agreement and to accept your application for
membership of the Spa & Leisure club. If your application of membership is accepted membership of the club
will start from the date stated on the front of this form. On acceptance, you will be issued with a membership
card personal to you and you will be entitled to all the rights and privileges exercisable by the class of
membership into which you have been accepted. Entry into the spa and leisure club is gained on presentation
of a valid membership card or by providing your membership details upon entry.
Membership
1 - You must be at least 18 years of age to be a member of our to Leisure & Spa as a single membership as
provided in clauses four to six below.
2 - members making payment together may apply for a couple's membership for which a discount may be
available.
3 - As a member you agree to comply with the rules of membership which are displayed within the club under
late to opening hours, use of the facilities under conduct. We may make reasonable changes to these rules at
any time provided we give you advanced notice of these changes.
4 - Junior membership, where applicable, shall be available to members children who are under the age of 18.
Junior members shall be subject to the rules relating to individual members. Junior members may use the
facilities at subscribed times which are highlighted in the Leisure & Spa club rules and must always remain under
direct parent slash guardian supervision unless involved in organised children's activities.
5 - Children under the age of 4 may use the facilities free of charge in conjunction with the terms and conditions
set out in this agreement.
6 - certain types of memberships do not allow you to use all of the clubs’ facilities and services. At our discretion,
we may allow you to use services and facilities not included in your type of membership on payment of an
additional charge.
7 - Membership cards are only for the use of the paying member and are not transferable under any
circumstance.
8 - Lost or misplaced membership cards will be reissued at a cost of £5 per card per person.
9 - Members may bring guests with them to use the club facilities. Please refer to your member benefits which
will state the number of annual guest passes applicable to each membership type. Swim only members and
members who have signed up to a promotional deal are not entitled to guest passes.
10 - Members must accept responsibility for their guests and ensure that they abide to the terms of membership.
Members must always be with their guests.
11 - Any behaviour involving other users, staff and hotel staff deemed inappropriate by the club or hotel
management may be classed as a serious breach of this agreement and may result in the cancellation of your
membership. This would include but is not limited to violent or aggressive behaviour, misuse of equipment,
unauthorised access, and theft.
12 - The club reserves the right to refuse admission to any member or guest
13 - Only adult members are permitted to sign in guests.
Membership Fees
1 - All members will pay a subscription beginning when the member is accepted for membership. Subscriptions
shall be payable by each member irrespective of the actual usage of the leisure and spa club or change in
personal circumstances and shall be payable annually in advance unless the member takes the monthly
payment option, in which case, it will be debited from the member's bank account monthly by direct debit. The
fact that we allow you to pay your membership fee by monthly instalments does not entitle you to terminate this
agreement outside the terms and conditions of this membership agreement. The fee is set out over leaf and is
non-refundable during the initial membership term.
2 - We may increase the membership subscription after the initial membership term will stop, we shall give you a
minimum of 30 days’ notice of any price increases.
3 - it is agreed that in the event of a couples or family membership both adult parties are jointly and individually
responsible and liable for the contract value.
4 - If any part of the monthly subscription remains unpaid after the due date for payment, all monies owing will
become due for payment immediately. Any outstanding payments may result in access to the facilities being
denied until paid. Late payment fees of 20% may be added to any overdue payments.
5 - with the monthly membership plan this means you are contract it to the initial membership term however
once the initial term has concluded you must give one months’ notice in writing to the club for cancellation.
6 - in the case of memberships paid either annually in advance or monthly by direct debit, members shall be
entitled to renew their membership on the expiry of the initial membership. With the same payment options as in
the initial membership. Note that continuance of monthly payments to the club at the end of the initial
membership. Shall be deemed to constitute renewal of the members membership for a further membership. The
prevailing rate in accordance with the terms and conditions set out in this contract.
7 - In the event of any default of the member, although house hotel and spa may disclose personal particulars
contained in the membership agreement to a credit reference agency or any other party it necessary in
obtaining settlement of arrears.
Cancellation of Membership
1 - Ardoe House Hotel and Spa and the Leisure & Spa club may cancel the membership of any member if they
commit a serious breach of the membership agreement or the club rules. Any refunds owed will be at the
absolute discretion of the management.
2 - Cancellation by a member:
o The member will not be entitled to cancel membership during the initial 6 month period of membership. No
refunds will be given under any circumstance.
o A member may cancel membership by giving no less than one calendar months’ notice in writing to the
club expiring on or after the initial 6 month membership has expired. No refunds will be given under any
circumstance.
o A member requires confirmation in writing or e-mail of cancellation from the club. The member should
contact the club if they have not received confirmation within seven days of the member giving notice
to cancel.
o Any frozen or suspended periods during the initial membership. Will be added onto the initial
membership period until the subsequent payments are received. No refunds will be given under any
circumstance.
The management of the club may cancel your membership at any point and any monies outstanding or owed
will be repaid. You will be notified in writing if this is the case.
Hours of Opening
The Leisure & Spa club normal hours of operation can be obtained from the club on our advertised within the
club. Such hours may be lengthened or shortened at the entire discretion of the management with or without
prior notice to members being given. Whenever possible, reasonable notice of such changes will be given.
Data Protection Act
We take the privacy of our members very seriously. If you have any requests concerning your personal
information or any queries in regard to our processing, please contact the Club Manager. The statements
below explain how we use your personal information.
(i) Information collected: We collect personal information from you through the membership form
and your use of our facilities. The information we collect may relate to your physical health or
condition.
(ii). Use of your information: We use your personal information for the purposes of providing and
personalizing our membership services and may contact you from time to time informing you of
related services or products. If you do not wish to receive such information you should instruct the
Club Manager accordingly, in writing. We may also contact you if you have not recently attended
the facilities to offer encouragement or seek information for the reasons for your recent absence.
Again, if you do not wish to be contacted in this way, please instruct the Club Manger in writing.
Section 2 General Health and Safety
o As safety is our utmost priority, we do not allow crockery or glasses outside of our reception area unless
this has a prior arrangement or agreement in place.
o Animals are not permitted inside the club with the exception of assistance dogs.
o Please pay particular attention to all signings relating to health and safety within our club. Please
contact a member of staff if you are having trouble understanding any signage within our club.
o Fire exits are clearly marked throughout the club. If the fire alarm is raised or there is a fire, make your
way out of the club via the nearest fire exit to the advertised fire assembly point.
o If you suffer from an injury or an accident that occurs within the club, you must report it immediately and
the circumstances surrounding it to a staff member.
o Smoking is not permitted within the club.
o While using the club, we expect our members and guests to be appropriately dressed, respectful and
polite. We can refuse access to the club and ask any members or guests whose behaviour or conduct
does not fall in line with the club's expectations to vacate the premises.
o Do not use the club if you have an infectious illness or condition; This would include but is not limited to
sickness or diarrhoea within the last two weeks.
o When using the club, please ensure you are wearing appropriate footwear to undertake exercise.
o Entry will be refused to anyone under the influence of drugs or alcohol.
o It may happen that, through circumstances beyond our control, we will be unable to provide our full
range of services. We will do all that we can to restore our services to normal as soon as possible.
Children
o Children aged 16 or under must be supervised at all times by a member over the age of 18. This does
not apply if they are attending an organised children's activity.
o If the member cannot bring their child to the organised children's activity, you can apply to the leisure
and spa manager for a named pass to allow an immediate family member to drop off slash collect
the child. The named pass does not include the use of the facilities.
o If attending an organised activity, the child must be signed in and registered with the leader of the
organised activity.
o The leader of the organised activity must have record of the person dropping off and collecting the
child. If the name does not match our records - your child will be unable to leave until the recorded
person is in touch with the leisure and spa manager.
o Parents and guardians must fill out registration forms for all children who will be attending organised
children’s activities and/or will be joining the club as a junior member.
o Do not bring your child to use the club if they have or have had on infectious illness within the last two
weeks; This would include but is not limited to sickness or diarrhoea.
o Children aged 8 or over must use the changing room in accordance with their gender.
o Children aged 15 or under are not permitted to use the sauna steam room or spa pool.
o Children aged 15 or under are not permitted to use the gym unless there is an organised activity
scheduled.
Car Park
o Car parking facilities are free to use for members and guests.
o Your car is parked in the car park at your own risk.
o We do not accept liability for any loss or damage to your car, or the personal belongings in it while
you are parked in our car park.
Swimming Pool, Sauna, Steam Room & Spa Pool
o For hygiene and health reasons, please ensure you (including all junior members and guests and
guests) have showered before entering the pool sauna steam room or spa pool.
o All times, you must follow the pool, sauna, steam room and spa pool rules and guidelines displayed
within the club and any instruction a leisure attendant or manager gives you.
o We may reserve the pool at certain times for adult only swimming, Aqua aerobics classes, family
sessions or lessons slash children's activities. We endeavour to give good notice regarding any
reserved pool timer, however, there will always be a section of the pool still available to our members
during scheduled activities.
o Inflatable items slash floats or any other items which may prevent members or guests from enjoying
the facilities it will only be permitted during scheduled family sessions.
o The use of snorkels, masks, fins, flippers in the pool, unless prior consent has been sought from the
leisure and spa manager is strictly prohibited.
o Shaving, exfoliating, use of oils or conditioners and eating within the pool, sauna, steam room and spa
pool areas are strictly prohibited.
o Children aged 3 and under must wear swim nappies while in the pool.
o Please refer to our child admission policy art reception. For more information regarding child
admission policy and child to adult ratios.
o You should not use the sauna, steam room or spa pool for longer than the recommended time.
o The spa pool operates 10 minutes on, 10 minutes off cycle. The use of the spa pool during the off
cycle is not permitted.
Lockers & Changing Rooms
o Lockers and bringing personal belongings to the club are at your own risk. Ardoe Leisure & Spa does
not accept legal responsibility for any loss or damage to these items.
o Please hand in any report all lost property to the club reception immediately. And in lost property will
be held for a maximum of two weeks.
Gym, Classes & Fitness Facilities
o All classes must be booked in advance. These can be booked from 10 days in advance.
o All classes are led by fully qualified personal trainers slash group exercise instructors.
o Class bookings are monitored, and we reserve the right to change or remove any classes.
o Members who book classes and consistently do not attend will be placed on a class suspension and
unable to book for a period of two weeks.
o When signing up for a membership please declare any health or physical conditions that are
relevant. Please ensure if anything changes, your details are kept up to date.
o You are responsible for monitoring your own health and fitness and physical condition. If you suffer
from any unusual symptoms while at the club, immediately stop the activity and alert a member of
staff.
Photography & Videography
o You must not take photographs or videos of any children under the age of 18 other than your own.
o You must have consent from anyone who appears in any photo or video that you take, and they
must be aware that this is being taken.
o Photography and videography are strictly prohibited in the changing area, pool, sauna, steam room,
spa pool and toilets.
o If another member or guest is unhappy that you're taking photos or recording and makes a
complaint, we may ask you to show us the image or video and delete them if appropriate.
o If a staff member asks you to stop filming or taking pictures, you must do so.
I confirm I have read and understood the above Terms and conditions of my membership and I agree to
adhere to the points set out in the terms and conditions above.
